When it comes to choosing a wedding venue, it’s easy to get caught up in the inclusions list and the price tag. But the team at Potters Receptions think there’s a more important conversation to have first, and it’s one that most couples don’t think to start until they’re already deep into the planning process. We asked them to share what they wish more couples knew.

When couples come to us at Potters Receptions, the conversation usually starts in the same place: inclusions, capacity, price. And those things matter. But the question we wish more couples would ask first is a simpler one: what will our day actually feel like here?

The flow of the day, the atmosphere between spaces, how guests are guided from one moment to the next, how the team supports you behind the scenes. These are the things that shape a wedding experience. A beautiful venue is one thing. The team delivering it matters just as much.

Flow is also the element most couples overlook entirely. How a day moves from ceremony into canapes and beverages, out for location photos, and back in for dining and dancing, that progression has a huge impact on the overall guest experience. When everything is thoughtfully connected, it creates a sense of ease that people may not consciously notice, but they always feel. How do you approach sustainability when looking at wedding venues?

Sustainability appears on almost every venue website now, and it can be hard to know what it genuinely means. For us, it isn’t about saying the right things. It’s about consistent, often unseen decisions. Sourcing produce locally. Preparing food onsite to minimise waste. Maintaining our natural grounds in a way that respects the surrounding environment. It’s also about longevity, creating a space that isn’t trend-driven but timeless, so it doesn’t need constant reinvention. True sustainability is operational, not promotional.

How can couples tell if a venue’s values actually match their own?

The best advice we can give is to observe rather than just listen. When you visit, notice how the team interacts, with you and with each other. Ask questions that go beyond the brochure: how do they handle changes on the day, what happens if something runs late, how do they support families with different cultural traditions? Values show up in the small moments, in flexibility, in tone, and in how willing a team is to personalise rather than standardise.

What role does the venue team actually play on the day?

The venue team sets the emotional tone of a wedding day. They are the constant presence from arrival through to the final farewell, and a calm, experienced, intuitive team can completely shift how a day unfolds. During site visits, pay attention to how you feel in conversation. Do you feel heard, reassured, guided? That is often a preview of exactly how you will feel on the day itself.

The couples who feel genuinely at ease on their wedding day are almost always the ones who trusted their team early and made clear decisions in the planning process. They are not managing the day. They are experiencing it. A venue’s job is to provide structure, clarity, and reassurance throughout, so that by the time the day arrives, there is nothing left for the couple to carry.

What does accessibility actually look like at a wedding venue?

Accessibility is about ensuring every guest feels considered and comfortable, regardless of age, mobility, or circumstance. It includes physical access, clear pathways, thoughtful layouts, and facilities that allow everyone to participate fully. It is often overlooked because it is not seen as part of the aesthetic conversation, but in reality, it is fundamental to creating an inclusive and welcoming experience for all. If you care about your guests feeling genuinely included, it belongs on your checklist.

How do you make sure a wedding actually feels like the couple?

We start every planning conversation by asking couples what matters to them beyond the visuals. How they want to feel, which moments are most important, how they want to connect with their guests. From there, we guide decisions that support those priorities. It might mean rethinking formalities, or incorporating cultural traditions, or simply slowing a timeline down. The most memorable weddings are not styled for photographs. They are designed around people.

That conversation often includes an honest discussion about scale. Many couples feel pressure to create a larger or more elaborate wedding than they truly want. When we take the time to step back and ask what actually feels right, the direction often shifts. Part of our job is giving couples permission to prioritise experience over expectation.

What actually makes a wedding day meaningful?

Meaning comes from connection, between the couple, their families, and their guests. The most impactful weddings are the ones where people feel present, relaxed, and included. Beauty enhances a day, but it does not define it. It is the atmosphere, the energy, and the genuine moments that stay with people long after.
