Maddy Mathews has coordinated her fair share of weddings at Hunter Events Group, from the sprawling to the intimate. But it’s a 27-guest wedding in gale-force wind that’s stayed with her, and it taught her something about what actually makes a reception unforgettable. Spoiler: it’s not the guest list. Here, in her own words, is the story, along with the practical takeaways she’d give any couple planning their own day.

To create an unforgettable wedding, I truly believe it all comes down to the couple’s vibe.
Yes, a stunning venue, incredible food, beautiful styling, and a huge guest list create an amazing wow factor. Those things absolutely leave an impression. But if the couple feel uncomfortable, out of place, or completely overwhelmed by stress, everyone in the room feels it too. One of the most memorable weddings I’ve ever coordinated wasn’t extravagant at all.
There were just 27 guests. The wind was gale force. And in the weeks leading up to the wedding, several things went completely wrong that were simply out of anyone’s control.
Of course, the bride and groom had a few moments of pre wedding anxiety. Who wouldn’t? But every time another obstacle popped up, they laughed it off, accepted what they couldn’t change, and chose to focus on what really mattered. The biggest thing they said to me was, “Maddy, we trust you. However the day ends up, we know you’ll make it amazing.”

Those words meant everything. When the wedding day arrived, it looked absolutely beautiful. The wind certainly wasn’t doing us any favours, but we made the best of it and embraced the conditions. As guests began arriving, they were fairly quiet and reserved. Then the groom arrived. He had the biggest smile on his face. He was genuinely so excited to marry the love of his life, and almost instantly you could feel the atmosphere change. Guests relaxed, conversations started flowing, and the excitement became contagious.
Then it was time to check on the bride. I walked into the bridal suite and found her in tears. For a split second I thought, “Right, time to put my best reassuring coordinator face on.”
I asked her what was wrong. She looked at me and said, “I just want to get married already. I can’t wait any longer.” Music to my ears. Those weren’t tears of stress. They were tears of excitement. The ceremony was emotional, hilarious, heartfelt, and completely them. It was authentic.
I’ll admit, I’d always had this preconceived idea that small weddings might feel quiet or even a little awkward. This wedding completely changed my mind. Everyone knew each other. Everyone was genuinely happy to be there. There was so much love, laughter, and connection that you forgot there were only 27 people. When it came time for the reception entrance, I swear it sounded like there were 100 guests cheering. Every speech had people laughing one minute and crying the next. Every plate of food was enjoyed. Everyone joined together for a limoncello shot and a huge cheers. And the dance floor? Honestly, it was one of the best dance floors I’ve seen in a very long time. Not because of a DJ trick. Not because there were hundreds of guests.

But because the bride and groom were out there leading the way. They were dancing, laughing, living in the moment, and celebrating with their favourite people. Their energy gave everyone else permission to do exactly the same.
That’s why I believe creating an unforgettable wedding isn’t about spending more money or chasing perfection. It’s about creating a day that feels authentically you. Because when a couple is relaxed, present, and genuinely having the time of their lives, every single guest feels it. And that’s the kind of wedding people remember forever.

If you’re planning your own reception, here’s what I’d tell you:
1. Your guests take their cue from you. If you’re relaxed and enjoying yourselves, the room matches that energy. Take a moment throughout the evening to be present rather than caught up in logistics.
2. Spend as much of the day together as possible. Your wedding is about celebrating your relationship, not just hosting an event.
3. Set aside 10 to 15 minutes once or twice during the day to step away together, eat something, and just be with each other. It’s a great way to recharge and come back ready to enjoy the rest of the celebration.
4. Keep speeches short and well timed. Aim for 3 to 5 minutes each, and no more than three in one sitting. Break them up with meal service or entertainment to keep the energy flowing.
5. Leave room for mingling, dancing and spontaneous moments. A relaxed timeline creates a much better atmosphere than rushing from one activity to the next.
